Qail is a product of PT Sailtix Lintas Samudra ("we", "our", or "us"), a company registered in Indonesia, which operates the maritime ticketing platform at qail.io. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform, including through the Deck by Qail mobile app for iOS and Android. The Deck by Qail app is published by PT Sailtix Lintas Samudra and is distributed on the Apple App Store and Google Play; this policy governs your use of that app on both platforms.

PT Sailtix Lintas Samudra also operates the consumer ferry-booking brand Sailtix (sailtix.com), which is one of the operators using this platform. Sailtix publishes its own privacy policy covering consumer bookings made on that site.

2. Information We Collect

2.1 Personal Information

We collect information you provide directly to us, including:

  • Account Information: Name, email address, phone number, company name
  • Passenger Data: Names, nationality, identification numbers (passport/ID), date of birth
  • Payment Information: Payment method details (processed by third-party payment providers)
  • Communication Data: Messages, and any photos, videos, audio, or documents you attach, sent or received through our platform or WhatsApp

2.2 Automatically Collected Information

When you access our platform, we automatically collect:

  • IP address and device information
  • Browser type and operating system
  • Usage data and analytics
  • Cookies and similar tracking technologies

3. How We Use Your Information

We use the information we collect to:

  • Process and manage bookings
  • Generate passenger manifests for port authorities (Syahbandar compliance)
  • Send booking confirmations and travel updates via WhatsApp and email
  • Process payments and refunds
  • Provide customer support
  • Improve our platform and services
  • Comply with legal obligations

4. Information Sharing

We may share your information with:

  • Operators: Vessel operators receive passenger information for manifests and boarding
  • Port Authorities: Passenger manifests are shared with Syahbandar as required by Indonesian maritime law
  • Payment Providers: Xendit, Midtrans, or other payment gateways to process transactions
  • WhatsApp/Meta: To send and receive chat messages and any attached media (photos, videos, audio, documents), and to deliver notifications, through the WhatsApp Business API
  • Service Providers: Cloud hosting, analytics, and other technical services

5. Data Retention & Account Deletion

We retain personal information for as long as necessary to provide our services and comply with legal obligations. Booking records are retained for 7 years as required by Indonesian tax and maritime regulations.

When an account is deleted, personal and account data are removed, except records we are required to keep by law or tax rules, or need for legitimate business continuity — for example transaction and booking records, and customer correspondence handled through an operator. The account holder’s name is removed from those records where it is not required.

How to request account deletion. To delete your Deck by Qail account and its associated personal data, you can either (a) open the Deck by Qail app, go to your account or profile settings, and choose Request account deletion; or (b) email privacy@qail.io from the email address on your account with the subject “Account deletion”. PT Sailtix Lintas Samudra will verify and process the request within 7 days. Personal and account data are erased, except records we are legally required to retain (for example transaction and booking records under Indonesian tax and maritime law), from which your name is removed where it is not required.

6. Data Security

We implement appropriate technical and organizational measures to protect your personal information, including encryption in transit and at rest, access controls, and regular security audits.

You have the right to:

  • Request deletion of your data (subject to legal retention requirements)
  • Object to processing of your data
